Cedar Canyon Camp is seeking a dependable, organized, and proactive Administrative Assistant to help our ministry thrive behind the scenes. This part-time role is ideal for someone who enjoys serving others, coordinating details, and turning ideas into action. Administrative Support

 

• Provide general administrative and office support.

 

• Maintain organized records, documents, supplies, and office systems.

 

• Assist with correspondence, reports, mail, printing, and other routine tasks.

 

• Direct information to the appropriate staff and help track deadlines and follow-up items.

Staff & HR Admin

• Support employee hiring, onboarding, and pre-employment requirements.


• Maintain accurate personnel files, forms, and HR documentation.

 

• Communicate hiring information and assist with staff scheduling, calendars, and deadlines.

Executive Director Support

• Manage schedules, meetings, travel, materials, and follow-up items.


• Monitor three camp email accounts and direct messages and information appropriately.


• Communicate decisions and assignments while helping turn ideas into actionable steps.


• Serve as a trusted thought partner who helps the Executive Director stay organized and focused.

✓ Hiring, onboarding, records, office systems, and financial paperwork are organized and completed accurately and on time.
✓ Information, deadlines, and follow-up items are communicated and managed effectively.
✓ The Executive Director is supported and able to focus on leadership and ministry.
✓ Projects and retreats are turned into organized, completed initiatives.
✓ Staff and guests experience a professional, efficient, and welcoming camp office.
✓ The Administrative Assistant is trusted to recognize what needs to be done and make it happen.

Project & Retreat Coordination

• Support the planning and execution of special projects, retreats, and events.


• Manage timelines, task lists, communication plans, administrative details, and follow-up.


• Coordinate speakers, musicians, staff, outside contacts, supplies, materials, and logistics.


• Prepare presentations and other program resources.
 

• Monitor progress, provide updates, and help ensure projects and events are completed on time.

Financial & Bookkeeping Admin

• Assist with basic financial administration for the camp.
 

• Receive and process payments as needed.
 

• Scan, organize, and submit receipts and financial documentation.
 

• Assist with maintaining accurate records for expenses and payments.
 

• Prepare and organize paperwork for the camp's accountant.
 

• Assist with other basic financial administrative tasks as assigned.

Communication & Info Management

• Ensure important information reaches the right people at the right time.
 

• Support communication between the Executive Director and camp staff.
 

• Track assignments, calendars, schedules, deadlines, and follow-up items.
 

• Promote clear communication and dependable follow-through.
 

• Handle confidential information with discretion and professionalism.
